1)     INTRODUCTION
This privacy policy sets out how we use and protect any information that you give to us when you become a member of a Team playing in the Southend District & Ex-Service Darts League.
Southend District & Ex-Service Darts League takes handling of individual’s personal data very seriously. We will only use your information provided to us for administering our darts league. We do not give your details out to any third party for the purposes of advertising etc.

2)     DATA CONTROLLER
The Data Controller for the Southend, District & Ex-Service Dart League will be the Hon. General Secretary. The Hon. General Secretary will be responsible for the overall storage and destruction of documents containing players details.

3)     DATA PROCESSORS
Data Processors who are allowed to handle individual details will be restricted to all other Committee Officers and Captains and Secretaries of teams for the current season.

4)     WHAT DATA WE COLLECT
Southend, District & Ex-Service Darts League collect Names, Addresses, Phone Numbers and Signatures of Captains, Secretaries and players on the following forms:
·        The Team Affiliation form
·        The Player Affiliation forms
·        End of Season Singles and Pairs Form
·        Scorecards
By signing these forms, Captains, Secretaries and players will give their consent to use this data to administer the league. However, individuals can request in writing to have their details removed.
Under no circumstance will these forms be photocopied or scanned and separate copies retained (except Scorecards). If Captains and Secretaries wish to retain their own player’s contact details, this must be done under consent by that player.

5)     HOW WE USE YOUR DATA
From the Team Affiliation form, the league will publish the Captain and Secretary Name and Phone number only in the Dart Handbook for each season. We will retain the Address Details for the reason of postal contact if required.
From the Player Affiliation forms, we will use Players Names only for publishing on the Website and in the handbook under last season’s roll of honour. We will retain the other detail for Checking Players Authenticity.
From the End of Season Singles and Pairs Form, we will use Names only to check if players are eligible to enter the competitions
Scorecards will contain Names only and will be used by Data Processors to build Results and Stats for the website.

6)     HOW WE STORE YOUR DATA
The Data Controller will retain the Team Affiliation Forms, Play Affiliation Forms and the End-of-Season Singles & Pairs Forms in a secure area. These forms will be held as a Paper Copy only.
Scorecards will be retained by the Records Secretary as a Data Processor for the duration of the Current Season in a secure area. The Data Controller can request sight of these cards from the Records Secretary at any time.

7)     HOW WE DISPOSE OF YOUR DATA
All forms listed under section 4 will be shredded by the Data Controller after the AGM has closed the season these forms were valid for.

8)     HOW YOU CAN REQUEST ACCESS TO YOUR DATA
The data on the forms we collect can be accessed by any individual during the current season. This must be done in writing to the Data Controller and the league will respond within 14 days of the request reaching us.
